As one of the largest fleet fueling operations in the country, we provide fuel and related services to businesses nationwide.
We are currently seeking an Administrative Assistant at our corporate facility in Milwaukee, WI.
The Administrative Assistant provides administrative and clerical support to the operations group throughout the organization in the areas of fleet maintenance, Department of Transportation compliance, and tank wagon procurement.
Responsibilities:
Maintain electronic and hard copy filing, record keeping, and records management systems including but not limited to vehicle registration, acquisitions, assignments, operations histories, inventory and vehicle and equipment disposals.
Respond to inquiries and requests for information regarding various operational and maintenance issues and procedures.
Provide support for Parts Inventory and local and national level.
Shipping of outbound packages for department.
Monitor flow of Maintenance related invoices, checking for accuracy, and entering the information into our Fleet Maintenance software, meeting stated deadlines.
Track and process warranty claims, recalls, and campaigns as they relate to Fleet Assets Provide other general administrative support, input, planning to assist in the efficient and economic operation of the Fleet Maintenance Department.
Assist Regional Fleet Manager with special projects and arrangements.
Perform general office duties including but not limited to ordering supplies, performing basic bookkeeping work, and sorting and distributing mail.
Job Requirements:
Requires education generally equivalent to successful completion of 4-years of high school or equivalent plus some additional specialized training.
Requires a minimum of three years of prior administrative experience.
Requires the ability to process complex time sensitive data and information from multiple sources, make decisions based on this data, and to effectively communicate related required actions to a broad audience.
Requires strong teamwork and flexibility to accomplish goals and department deadlines.
Requires strong customer orientation in interacting with and resolving issues in a timely, professional and positive manner.
Requires knowledge of and the ability to use a variety of standard office equipment such as a 10-key calculator, telephone, and computer and printer.
Requires knowledge of computer software such as Microsoft Office Suite, with a strong background in Excel.
Knowledge of TMT Transman software is a plus.
Prior knowledge of commercial vehicle maintenance is preferred but not required.
