Responsibilities:

Manage the scheduling of therapy sessions for clients receiving Applied Behavior Analysis services across home, clinic, school, and community locations 2.
Follow and reinforce the implementation of all scheduling related policies and procedures 3.
Identify, coordinate, communicate, and enter make-up, coverage, or overlap appointments 4.
Perform routine evaluations of schedules and make adjustments as needed to ensure optimal utilization of resources 5.
Provide timely feedback to supervisors and staff regarding scheduling updates and changes 6.
Ensures that standards, ethical guidelines, and safety regulations are met 7.
Document scheduling activities accurately and maintain up-to-date records 8.
Collaborate with staff to address scheduling challenges and attendance issues and make recommendations for improvement 9.
Provide regular updates on hiring needs to the hiring manager 10.
Assist in the recruitment, screening, hiring, and training of staff as needed 11.
Assists with the client intake process while maintaining prospective client database 12.
Makes recommendations for improvement to existing systems and processes 13.
Assist with special projects as needed 14.
Complete relevant administrative documentation 15.
Arrives for appointments, meetings, trainings, etc.
at scheduled time 16.
Returns response to phone calls, electronic mail, and other correspondence within 24 hours on working days 17.
Maintain the office and materials in a neat and orderly manner and ensure materials are in sufficient quantities 18.
Conduct oneself in a professional manner and treats all clients, co-workers, and others with dignity and respect in a culturally-sensitive manner 19.
Follow all clinical and administrative policies and procedures; and 20.
Perform related duties as assigned
Experience:
- Previous experience in medical administrative support or patient service is preferred - Familiarity with front desk operations in a medical or Applied Behavior Analysis office setting is a plus - Proficiency in using phone systems and handling high call volumes - Knowledge of CentralReach or similar electronic medical record systems is desirable - Knowledge of Google Workspace applications is desirable - Strong organizational skills and attention to detail to effectively manage appointment schedules - Excellent communication skills to interact with patients, providers, and staff in a professional manner Note:
