Administrative Support Assistant

This position is the Administrative Support Assistant to the Division Manager of the Medical Subspecialties Services Division performing the administrative support, technical and clerical work in support of management analysis and program analysis. The incumbent acts as liaison between the Division Manager, Administrative Officer and other administrative personnel and the Clinic Nurse Program Manager, as well as professional and administrative personnel of other Divisions and the Medical College of Wisconsin, The administrative responsibilities encompass performance improvement activities, management-support functions, special projects and assignments, and personnel management. Major duties include but are not limited to the following:
Schedules and coordinates all appointments. Arranges meeting or conferences. Receives telephone calls and personal visits from high level VA officials, officials and faculty of the Medical School, staff and supervisory personnel of the Medical Center and the other VA facilities, patients and their families and the general public. Handles requests for information. Resolves and assists in resolving a variety of complaints made by staff, patients and their families. Makes prompt decisions on matters concerning veterans, personnel and policy. Reviews all correspondence prepared for the Division Manager's signature of approval for format, procedural compliance, grammatical accuracy and neatness. Determines routing of inquiries, complaints, etc. to appropriate area for information. Develops internal systems to ensure tracking of administrative matters to respond to inquiries both from within the office and outside organizations. Uses computers and software programs including work processing, database, spreadsheets and graphics. Work Schedule:

Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. Experience:
You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Working knowledge of computer operating systems and the use of work processing, spreadsheets and database software; Knowledge of VISTA computer system; Making decisions; Analyzing and solving problems; Planning, organizing, and coordinating work; Setting priorities; Relating to internal and external customers courteously. As a general rule, education is not creditable above GS-5 for most positions covered by this standard; however, graduate education may be credited in those few instances where the graduate education is directly related to the work of the position. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
